Refund policy

When we refund and how.

The association is a not-for-profit body; every fee it takes goes to a specified purpose. This is what happens when a member asks for a refund.

Version 1.0.0In force from 1 August 2026

The principle

The association exists to serve its members. Where a member has paid for a service that was not delivered, or was materially different from what was described, we refund. Where the service was delivered as described, we generally do not — but the committee has discretion and applies it in good faith.

Membership subscriptions

New members may cancel their subscription within fourteen days of signing up for a full refund, no reason required. After that the subscription runs for its stated period and is not refunded on cancellation, though your data is erased on request.

Events

Event tickets are refunded in full if the event is cancelled by the association. If a member cancels their own attendance:

  • More than 30 days before the event — full refund, less any non-recoverable per-head costs paid to third-party venues.
  • Between 30 and 7 days before — 50% refund.
  • Within 7 days — no refund, but you may transfer your ticket to another member at no charge by emailing the Secretary.

Fundraising and donations

Donations to open appeals are, by their nature, gifts and are not refundable once made. Where a donation has been made in error (wrong amount, duplicate transaction, mistaken appeal) we will refund on request within thirty days of the transaction. Beyond thirty days we will do our best but cannot guarantee it — the funds may already have been disbursed.

How to request a refund

Email the Treasurer at treasurer@example.com with the transaction reference and a short note of the reason. Requests are acknowledged within three working days and settled within fourteen. Refunds are issued to the original payment method.

Disputes

Where a refund request is declined, the member may appeal in writing to the Board of Trustees within thirty days of the decision. The trustees respond within a further thirty days and their decision is final within the association's own procedures — nothing here restricts a member's statutory rights.
